POSITION OVERVIEW

This is a full-time role reporting to our leadership team. For this role, you’ll need to live in or near Columbus, OH, and be willing to work in the offices at X Church. Typical hours for this role are 9am-5pm Monday-Thursday, 7am-1pm Sunday, and on occasion, there is a need to work additional hours on evenings and weekends during special events throughout the year.

MISSION

The mission of the Executive Assistant is to stay five steps ahead of his/her leader, tracking all of the administrative details, and clearing the path for him/her to make the greatest contribution to X Church. The Executive Assistant will be a key asset to the leadership by anticipating needs at an exceptionally high level, allowing them to develop a vision and strategy for all aspects of leading X Church.

While repetitive tasks are certainly part of this position, the tasks assigned can vary from week to week based on the leadership’s needs and the needs of X Church. The most important responsibility of this role is to ensure that administrative tasks and projects are completed with a high level of efficiency, confidentiality, accuracy, flexibility, and positivity to support the initiatives of their leader.

RESPONSIBILITIES

The Executive Assistant will have the following primary responsibilities:

  • Meeting and Event Coordination: Manage all aspects of meetings and events including scheduling, preparing agendas, taking notes, arranging catering, and coordinating ministry events.
  • Communication and Email Management: Handle communications internally and externally, manage email correspondence, and serve as a point of contact for meeting requests.
  • Administrative Support: Assist with various administrative tasks such as managing calendars, preparing meeting minutes, organizing props, and stocking essentials in office areas.
  • Guest and Travel Coordination: Arrange all details for guest speakers and visitor hosting, including travel, accommodations, and reimbursements.
  • Document and Financial Management: Assist with financial document processing, expense reporting, and receipt management.
  • Social and Staff Engagement: Send notes, gifts, and flowers for significant events, manage social media accounts if applicable, and organize staff-related events and recognitions.
  • Project Management: Oversee light project management duties, maintain task notifications, and update documentation as necessary.
PROFICIENCIES
  • Communication Mastery: Excellent written and oral communication skills are crucial. The role requires an ability to summarize complex information swiftly and accurately, ensuring clarity across all forms of communication including emails, reports, and during meetings. Must maintain effective communication channels without losing detail, demonstrating responsiveness and precision.
  • Discretion and Confidentiality: Must handle sensitive and confidential information with the utmost discretion, ensuring privacy and integrity in all communications within the church.
  • Collaborative Spirit: Ability to work harmoniously with the X Church staff. Must foster a positive, can-do attitude, characterized by a cooperative, complaint-free, and solution-oriented mindset.
  • Proactive Approach: Known for anticipating needs and proactively addressing tasks. This includes staying ahead of potential challenges, preparing for upcoming commitments and responsibilities, and ensuring smooth day-to-day operations for leadership.
  • Technological Proficiency: Skilled in using Mac systems with a quick adaptability to new technologies. Familiarity with platforms like Microsoft Office (Word, Excel, PowerPoint, Outlook), Dropbox, Google Suite, Basecamp (project management software), is essential for efficient task management and communication.
REQUIREMENTS

Education: Bachelor’s degree, preferred.
Experience: 2-5 years supporting leaders
Physical: Ability to bend, reach, and lift boxes and office supplies up to 30lbs.
